Home care agency software: what to look for

A buyer's checklist for agency owners, written around the things that actually cost you money when they are missing.

What does home care agency software need to do?

Run the roster, the caregivers, the compliance, the paperwork and the money as one system. The test is simple: when you move a shift, does the timesheet, the invoice and the family's schedule change with it, or do you change them yourself in three places?

That single question separates a genuine platform from a scheduling tool with features bolted around it. Every hour spent reconciling the second kind is an hour of margin.

Which features matter most?

  • Scheduling that catches your mistakes. Recurring bookings, caregiver availability, auto-match and conflict warnings before a double-booking reaches a client.
  • Credential and expiry tracking with advance warning. Not a folder of scans. A system that tells you a certificate lapses in three weeks, while you can still act.
  • Clock-in and clock-out on the caregiver's phone. A timed record per visit is what you bill from, pay from and rely on in a dispute.
  • Care plans signed in the browser, stored against the client with a date on them.
  • Invoicing from the shifts already logged, so billing is not a monthly re-entry exercise.
  • Payroll from the same timesheets, whether through your own provider or in-app pay documents.
  • A client and family portal, because most of your inbound calls are someone asking what time a caregiver is coming.
  • An audit log. Who changed what, when. Invisible until the day you need it, then the most important feature you own.

What questions should you ask a vendor?

  1. Whose brand do my clients see? If the portal carries the vendor's name, you are building their business with your clients.
  2. Who holds the money? Insist on connecting your own payment account. Anything that routes client payments through the vendor puts your cash flow behind their processes.
  3. Do you take a percentage of what I bill? A subscription is a cost you can plan. A percentage is a partner you did not agree to, and it grows as you do.
  4. How is my data separated from other agencies? The answer should be rules enforced on the server, not "each agency sees their own view".
  5. Can I get my data out? Ask before you sign, not when you are leaving.
  6. What happens when a caregiver has no signal? Homes have bad reception. Ask what the caregiver's phone does about it.
  7. What does it cost when I double in size? Understand the pricing at three times your current caregiver count.

What should make you walk away?

A percentage of your revenue. Client payments held by the vendor. A portal that shows your clients somebody else's brand. No audit trail. No straight answer on data separation. And a demo you cannot get into without a sales call — if the product were easy to use, they would let you use it.

How much should it cost?

Per-agency subscription pricing, tiered by caregiver count, is the norm and the model you want, because your bill stays predictable while your revenue grows. Be careful of pricing that scales with billing rather than headcount: it takes a share of exactly the growth you are working for.

Insist on a real trial. Not a guided demo — your own workspace, your own test client, your own week on the calendar. Half an hour in the actual product tells you more than an hour of slides.

How do you migrate without losing a week?

Do not move everything at once. Put next week's roster in alongside your current system and run both for a week. Start with caregivers and clients, then the schedule, then billing. Pick a quiet week, and tell your team the first week will be slower — because it will be, and saying so prevents them quietly reverting to the spreadsheet.
